Operations Associate
About the Role
We’re looking for an Operations Associate to manage the financial workflows, reconciliation processes, and internal/external ticket flow that support our customer experience. You’ll transform large, messy data sets into clear outputs, submit information across various vendor portals, and maintain impeccable documentation so customers, partners, and auditors always have clarity on the next step.
What You’ll Do

Own operational processes end-to-end: Manage distributions, rollovers, conversions, corrective contributions, and annual filing prep. Collect information, generate forms, submit requests, track status, and close out each workflow.

Improve and automate workflows: Convert manual, fragmented processes into streamlined and automated systems that create a great customer experience.

Reconcile complex data: Combine multi-CSV inputs (payroll files, enrollment data, account balances) into per-enrollment/per-tax-type outputs. Produce polished CSV/PDF deliverables with clear audit notes.

Manage vendors and portals: Submit requests to custodians, TPAs, and transfer agents; maintain a clear status board; escalate early; and ensure handoffs are low-risk and well-documented.

Work the queue: Triage inbound tickets, write concise and clear communications to customers and vendors, and quickly unblock cross-functional teammates.

Maintain operational hygiene: Enforce naming conventions, version control, foldering standards, and documentation links. Ensure everything is always ready for inspection and tied back to your internal ticketing system.
Who You Are

Experience: 3–6 years in regulated operations (finance, fintech, benefits, transfer agency, or brokerage). You bring relevant expertise but aren’t a retirement-industry lifer.

Spreadsheet expert: Strong command of Excel/Sheets—pivots, XLOOKUP/INDEX-MATCH, array formulas, QUERY, filters, validation—and comfortable handling CSVs with 50k+ rows.

Process-driven communicator: You thrive on SOPs, checklists, and writing customer-friendly explanations.

Bonus skills: Light SQL or Apps Script, plus familiarity with ticketing systems (Intercom/Jira) and strong discipline in Google Drive/Docs organization.
