Position Overview:
We are seeking a highly organized, proactive, and polished Executive Assistant (EA) to provide seamless administrative support to our C-suite, with a primary focus on the CEO and CFO. This is a critical role and our first hire dedicated to supporting senior leadership. The ideal candidate will be a trusted partner to the executive team—driving seamless day-to-day operations, enabling productivity at the highest level, and fostering a culture of excellence. They will thrive in an environment that values urgency, agility, and a sharp, tech-savvy mindset.
Key Responsibilities:
Executive Support:
Manage complex calendars across multiple time zones for the CEO and CFO, including scheduling internal/external meetings, travel, and events.?

Serve as a gatekeeper and liaison between executives and internal/external stakeholders.?
Â
Prepare briefs for executives, including agendas, documents, and talking points.?
Â
Draft, proofread, and manage high-level communications and presentations.?
Â
Manage email inboxes and flag or respond to urgent priorities when appropriate.?
Â
Travel & Logistics:
Coordinate detailed domestic and international travel itineraries, including flights, accommodations, ground transportation, and meeting logistics.?
Â
Process expense reports and reimbursements in a timely and accurate manner.?
Â
Prepare travel briefing materials and ensure executives are fully equipped for all trips.?
Â
Meeting & Event Management:
Organize and support C-suite meetings, including preparing materials, recording minutes, and tracking action items.?
Â
Coordinate leadership offsites, board meetings, investor meetings, and company-wide events as needed.?
Â
Support internal culture initiatives through event planning and execution.?
Â
Office & Operations Coordination:
Serve as point of contact for office-related matters and vendor relationships.?
Â
Partner with HR, IT, and Finance to ensure executives are equipped with the necessary tools and support.?
Â
Assist with onboarding logistics for new C-suite hires.?
Â
Confidentiality & Discretion:
Handle sensitive information with the highest degree of integrity and confidentiality.?
Â
Anticipate executive needs and proactively solve problems before they arise.?
Â
Special Projects:
Provide project management support for key business initiatives or ad hoc requests.?
Â
Conduct research, gather data, and compile reports for executive decision-making.?
Build structure around the administrative function by developing processes, tools, and workflows that will evolve alongside the business.

Qualifications:
5+ years of experience as an Executive Assistant supporting senior executives, ideally within a fast-paced or high-growth environment.?
Â
Demonstrated success in supporting multiple C-level leaders, especially a CEO and/or CFO.?
Â
Exceptional organizational, time management, and multitasking skills.?
Â
High level of professionalism, discretion, and emotional intelligence.?
Â
Strong written and verbal communication skills.?
Â
Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and modern productivity tools (e.g., Slack, Zoom, Concur).?

Ability to thrive in a 100% onsite, collaborative work environment.?

Compensation & Benefits
Compensation: The expected base salary range for this position is $120,000 – $130,000 annually, plus eligibility for a discretionary performance-based bonus. Final compensation will be determined based on experience, skills, and location.
