Summary

The Manager of Conference Programs and Education is responsible for managing and implementing the Association’s education initiatives, specifically the Annual Meeting & Conference programming.  This position oversees development, selection, and delivery of conference programs and workshops, and provides additional support for the Association’s other education initiatives.

Duties and Responsibilities

  • Oversee and manage the Annual Meeting & Conference program process from beginning to end (approximately 60-80 programs).
  • Collaborate with vendors and/or staff to design and implement data-related processes and workflows for platforms which include, but is not limited to, the call for program proposal submission and review, survey evaluations, the Conference scheduler and mobile app, and Conference registration. Additionally, recommend system and process improvements to increase efficiency.
  • Develop and manage the speaker database, speaker timelines, and resources on the Conference webpages in collaboration with staff and vendors. Set up tasks to collect data from speakers, program coordinators, and Annual Meeting Program Committee (AMPC) members.
  • Manage the abstract and speaker management system, overseeing the call for abstracts and proposal submissions, review, confirmation, and program layout. Recommend improvements to streamline the proposal process.
  • Manage and execute processes for contracting, inviting, coordinate interview, and onsite management of the general session keynote speaker.
  • Assist with the development of all Conference related communications including sending timely, targeted communications to program coordinators and speakers regarding upcoming deadlines, reminders, instructions, etc.

 

  • Facilitate the collection of all program speaker information, including signed commitment and copyright agreements, and ensuring all speakers are registered for the Conference.
  • Regularly monitor and update the Conference webpages, scheduler, and mobile app to ensure content accuracy.  
  • Work with audio/video and digital/live events teams to determine event timelines and assist with scheduling logistics and other details.
  • Compile and review presentation slides and follow up on needed edits. Collaborate with staff, vendors, and AMPC members to oversee slide upload, review, tracking, communication, and approval.
  • In collaboration with vendors and relevant staff, prepare program evaluations and Conference survey. Upon conference completion, compile and disseminate evaluation data to presenters, program coordinators, and AMPC members.
  • Serve as first-line responder to Conference program inquiries. Maintain exemplary customer service through ongoing communication with speakers, program coordinators, staff, and other constituents, addressing questions and issues on a timely basis.
  • Source and facilitate bi-weekly member-hosted virtual chats.
  • Provide coordination and program development support as needed for other education (in person meetings, self-paced courses, online programs, virtual chats, and webinars).
  • Other responsibilities as assigned.

RELATIONSHIPS

  • Serve as staff liaison to committees including the Annual Meeting Program Committee, award juries, and other entities as assigned.
  • Work collaboratively with members, vendors, staff, and others in executing a great Conference.

QUALIFICATIONS AND REQUIREMENTS
 

  • Bachelor’s degree required.
  • Three to five years of relevant professional experience.
  • Experience in a membership association preferred.
  • Excellent critical thinking, organizational, project management, verbal/written communication, proofreading, interpersonal, diplomacy, and problem-solving skills required.
  • Must be self-directed; comfortable working autonomously while being accountable to high-level leadership.
  • Ability to work independently and in team settings, multitask, prioritize workload, pay keen attention to detail, and produce deliverables by deadlines.
  • Strong technical acumen essential with proficiency in MS Office, web conferencing/online communication platforms, databases, webpage maintenance and document collaboration platforms, and the ability to learn and apply new technologies required.
