Position Title: Associate - Client Service
Reporting to: VP - Director of Client Service & Marketing
Location: Chicago, IL
The Client Service Associate will work closely with the Director of Client Service and the Client Service Team to deliver a premium service offering to our clients. This role will be assigned specific families and is responsible for analyzing and executing tasks involving those family’s
accounts and investments. This role also works directly with our advisors to ensure all execution items are tracked and completed on time.

Client Service

• Deliver superior client service to assigned families – analyze accounts, troubleshoot problems, schedule and organize meetings; serve as liaison between advisor and client as needed
• Communicate professionally with clients, verbally and in writing
• Manage client information – prepare client reports, submit and follow up on necessary paperwork, regularly update CRM to track pertinent information
• Maintain contact with clients to provide or obtain updated information
Account Set-up, Maintenance & Analysis
• Responsible for the set-up of new client accounts and maintenance of existing client accounts
• Analyze and track transactions across client accounts and coordinate with Portfolio Managers and the Client Service Team to understand large transactions
• Manage client execution items in task management system
• Maintain and monitor Tamarac reporting system to holistically report on asset allocation and performance for clients Investment Documentation & Funding
• Assist with completion of account paperwork and subscription documents related to alternative investments for client families
• Initiate capital call workflows and funding
• Create and help drive processes among the team Quarterly Review Preparation & Execution
• Schedule and prepare reports for quarterly reviews
• Draft quarterly review meeting discussion summary and manage follow-up items

The successful candidate will ideally possess the following:
• A bachelor’s degree
• A minimum of 2-3 years of relevant experience in a service role
• Positive can-do attitude, along with a good sense of customer service
• Strong communicator (oral and written) and firm believer in teamwork
• Independently motivated and comfortable in an entrepreneurial environment
• Exhibits calm under pressure in a fast paced environment
• Strong attention to detail and problem-solving skills
• Proven analytical skills that lead to a deeper understanding of client account and
portfolio needs
• Timely task completion with exemplary follow through
• Exceptional project management and organizational skills, including effective time
management and prioritization of competing demands and multiple deadlines
